Who we are
The Mae Collection Ltd ("The Mae Collection", "we", "us"), registered in England and Wales, company number 17098724, registered office 66 Paul Street, London, England, EC2A 4NA. We are the data controller for personal information collected through this website.
What we collect
When you contact us we collect your name, email address, phone number if provided, and the details you share about your property or portfolio. We also collect limited technical information through cookies and similar technologies, described in our Cookie Policy. We do not collect more than we need to respond to your enquiry and provide our services.
Readiness Snapshot
Property answers are processed by our AI service provider to prepare preliminary operational guidance. Please do not include sensitive personal data. We do not save the answers in our enquiry records or email them to our team unless you choose to send the completed Snapshot. If you do, we store your answers, generated Snapshot, contact details and consent with your enquiry, and share them internally to respond to your consultation request. AI service processing is subject to the provider’s applicable privacy and retention terms.
How we use it
To respond to your enquiry, provide our services, meet our legal and contractual obligations, and keep proper business records. We do not sell your information, and we do not send marketing you have not asked for.
Legal bases
We process personal data on the following legal bases under UK GDPR: your consent (for optional cookies and any marketing you opt in to), the performance of a contract (to deliver services you have engaged us for), our legitimate interests (to respond to enquiries and run our business), and compliance with legal obligations.
Sharing
We share personal data only with service providers that help us operate our website and business (for example, secure hosting and email delivery), and where required by law. Any such providers are bound by appropriate contractual and security terms.
Owner portal
Owners we work with may be invited to a private owner portal. For each portal account we hold your name, email address and preferred language, together with the property records we prepare for you: property name and area, stage, status updates, next steps, your readiness Snapshot and proposal details. Only you and authorised members of The Mae Collection team, who must use two-step verification, can see these records. Changes made by the team are logged. We keep portal records for the duration of our management relationship and a limited period afterwards, then delete or anonymise them. You can ask for a copy of your portal data, or for it to be deleted, using the contact details below.
Your rights
Under UK GDPR you may request access to, correction of, or deletion of your personal data, and you may object to or restrict our processing of it. To exercise any of these rights, contact us at landlords@themaecollection.com. You also have the right to complain to the Information Commissioner's Office (ico.org.uk).
Retention and security
We keep personal data only as long as necessary for the purposes above or as required by law, and we protect it with appropriate technical and organisational measures.
